What it is for
Send it after the job, or at each stage of a staged job. It subtracts the deposit and any progress payments, and shows the balance due in a box.
It has the same header as our roofing estimate template, so the two look like a set.
Give the customer a lien waiver for each payment you receive, and collect waivers from your suppliers and subcontractors. Set out the payment stages in your roofing contract.
How to use it
- Fill in your company details once, and save the file as your blank.
- Fill in the invoice number, the date, the due date, the estimate number and the job address.
- Fill in the customer under Bill to.
- List the work. Put each change from a signed change order on its own line.
- Type the tax rate, the deposit received and any progress payments. The balance due works itself out.
- Fill in how to pay and your late-payment terms. Then send it.

Questions people ask
What should a roofing invoice include?
Your company details and license or registration number, an invoice number and date, the due date, the customer and the job address. Then the work done line by line, the tax, the payments already received and the balance due. Put the estimate number on it, so the customer can match the two.
When do I send the invoice?
Send it when the job is complete, as your contract defines it. For a staged job, send one at each stage. Send it the same day if you can, while the work is fresh in the customer's mind.
Can I invoice in stages?
Yes. Send one invoice per stage, for example deposit, materials delivered and work complete. Put the stage in the description. The file subtracts the deposit and the progress payments, so each balance is right.
What if the customer pays late?
Write your late-payment terms on the invoice before you send it, and make sure they match your contract. Send a polite reminder on the due date, then call. If the customer still does not pay, ask a lawyer in your state about your options.
Should the invoice match the estimate?
Yes. Put the estimate number on the invoice and use the same line items. List each change from a signed change order as its own line, so the customer sees why the total moved.
